Membership Terms

Effective Date: March 2026

1. Membership Overview

By purchasing a county membership with the North Carolina Association of County Veteran Service Officers (NCACVSO), your county agrees to these terms. Membership provides access to NCACVSO resources, professional development opportunities, the annual conference, and member-exclusive services for all designated county staff.

2. Membership Period and Renewal

County memberships are valid for one (1) year from the date of payment activation. Memberships renew annually on the anniversary of activation. NCACVSO will send renewal notices 30 days prior to expiration. Failure to renew by the expiration date will result in loss of access to member services until payment is received.

3. Payment Terms

  • Base county membership: $60/year (includes 1 staff member)
  • Additional staff members: $10/year per person
  • Payment accepted via credit card (processed immediately) or check/invoice (access granted upon receipt of payment)
  • Late renewals after September 1 incur a $10 late fee
  • All fees are non-refundable once membership is activated

4. Multi-User Access

County memberships allow multiple designated staff members from the same county to access NCACVSO services. The primary contact is responsible for managing staff member access through the online portal. Any county staff member may renew the county membership on behalf of their county.

5. Conference Registration

Active members receive access to NCACVSO’s annual conference. Conference registration closes 7 days prior to the event. No registrations or payments will be accepted at the door. Guest tickets for banquet and hospitality events are available for an additional fee.

6. Member Responsibilities

Members agree to:

  • Provide accurate contact information for all staff members
  • Use member resources in accordance with professional standards
  • Maintain the confidentiality of login credentials
  • Notify NCACVSO promptly of any staff changes or contact information updates

7. Access Termination

NCACVSO reserves the right to terminate membership access for:

  • Non-payment of dues
  • Violation of member conduct standards
  • Misuse of member resources or services

Terminated memberships forfeit all benefits and fees paid are non-refundable.

8. Data Privacy

NCACVSO collects member information solely for membership administration, professional development, and communication purposes. Member data will not be sold or shared with third parties except as required for membership services (e.g., payment processing). Members may request data deletion upon membership cancellation.

9. Liability Limitation

NCACVSO provides services and information “as is” without warranties of any kind. NCACVSO is not liable for any direct, indirect, or consequential damages arising from membership or use of services. Members are responsible for their own professional decisions and conduct when serving veterans.

10. Modifications

NCACVSO reserves the right to modify these terms, membership benefits, or pricing with 30 days’ notice to active members. Continued membership after notification constitutes acceptance of modified terms.

11. Governing Law

These terms are governed by the laws of the State of North Carolina. Any disputes shall be resolved in North Carolina courts.
